The Supervisor, Operating Services will be responsible for providing best-in-class support to the Dunkin’ Operations organization, planning meetings and events of all different sizes and scales, managing budgets, and operating in a fast-paced environment to remove obstacles across the team. The individual filling this role will be the glue of the team, not only supporting Operations leadership in their efforts to drive the business, but also working directly as a liaison with Dunkin’ franchise leaders. This individual will also be responsible for providing executive support for the Chief Operations Officer, managing key third-party vendors and achieving bottom line cost savings for Dunkin’.   

 

The Supervisor, Operating Services will sit within the Office of Strategic Initiatives but must have dynamic relationship building skills to collaborate with a wide range of cross-functional teams both office and field based. This leader will have one direct report: the Operating Services Specialist.

This role is in office the Canton, Ma. Support Center

Duties and Responsibilities 
 

Lead Meeting Planning Activities for Dunkin’ Operations Team(70%) 

 

Plan franchisee leadership meetings and subcommittee meetings, regional all-team meetings, team meetings/dinners and more. Additionally, plan high profile leadership meetings including Brand Advisory Council meetings, Operations leadership meetings and the Annual Franchisee Awards Dinner for Dunkin’ and Baskin-Robbins. 

  • Act as SME for all aspects of meeting planning including contract negotiation, logistics, room sets, audio visual, and budgeting 
  • Proactively discuss meeting logistics with meeting hosts, providing consultative advice, offering cost saving recommendations and sharing best practices 
  • Source potential meeting venues focusing on location, size requirements and meeting the goals and objectives of the meeting host within budget 
  • Review options with the meeting host; prepare venue comparison and cost projections as needed 
  • Skillfully negotiate hotel, audio visual, offsite event venue and restaurant contracts with special attention to legal and cost saving implications for Dunkin’ 
  • Prepare clear, concise meeting announcements highlighting important logistics for Inspire travel agency, internal team members and franchisee attendees 
  • Act as liaison between meeting host and venue to expertly detail audio visual requirements, room set up and food and beverage needs, paying strict attention to attendee audience and dietary restrictions and preferences 
  • Maintain meticulous reservation links, room blocks, and attendee rooming lists 

 

Provide Impactful Organizational Support Across Operations Team(15% )

  • Create/update/maintain internal and external (franchisee) distribution lists for Dunkin’ Operations team organized regionally by Business Consultants and Directors 
  • Maintain accurate subcommittee information sheets to be shared internally with cross-functional partners 
  • Lead new hire onboarding process for business consultants and directors on the Operations team by completing a list of 20 onboarding tasks using multiple systems and channels  
  • Reconcile monthly Operations meeting expenses by tracking, organizing and filing meeting related expense receipts, completing monthly expense reports on a timely basis and carefully allocating expenses to appropriate cost center 
  • Act as first point of contact for general questions and support (travel and expense issues, shipping, company policies and procedures, hotel/venue recommendations)  
  • Assist Learning Department with Manager Elite Council meetings, ad hoc offsite dinners and events and other brand initiatives  
  • Process franchisee reimbursements 
  • Assist with regional communication requests by setting up zoom calls/webinars, building and reporting on custom surveys and sending out targeted email communications and calendar invites 

 

Provide Executive Support to Dunkin’ COO(10% )

  • Support COO travel by researching comprehensive flight/hotel options and providing to COO in a consolidated, efficient format 
  • Liaise with Inspire’s travel agency to secure arrangements and effectively navigate time-sensitive travel changes, disruptions or issues 
  • Accurately reconcile monthly expense report on a timely basis 
  • Manage calendar/call requests from internal and external parties 
  • Support ad hoc COO engagements 

 

Supervise Operations Services specialist(5%)                                             

  • Provide timely counseling, feedback and coaching on all job duties and responsibilities with emphasis on travel and meeting planning 
  • Prepare and deliver annual performance review 
  • Approve IT requests, weekly time sheets and PTO requests  

Education Requirements

  • Minimum 4 Year / Bachelor’s Degree BS degree in Business, Meeting Planning or Related Discipline. 

Years Of Experience 

  • Must have a minimum of 3 years’ meeting planning experience. 
  • Preferred experience supporting and working closely with executive team members. 
  • Preferred experience and successful track record in working directly with franchisees and partnering cross-functionally within a complex organization  

REQUIRED KNOWLEDGE, SKILLS or ABILITIES 

  • Self-starter with strong communication skills, an ability to drive accurate results in a fast-paced environment, to think and act strategically, and to lead with confidence and tempo 
  • Exceptional attention to detail, organization, project management and customer service skills 
  • Proactive and innovative thinker and communicator with strong collaboration skills 
  • Positive attitude and willingness to jump in as a team player and get the job done, even for special ad hoc requests that are outside of the scope of the position 
  • Ability to “manage up” – consult, influence and coach franchisees and cross-functional partners 
  • Ability to multi-task while managing against established timelines and budgets 
  • Strong technical skills in Microsoft Office products including Excel, PowerPoint and Outlook or equivalent 
  • Ability to embrace change, adjust priorities often, and deliver time-sensitive results  
  • Ability to skillfully negotiate contracts to achieve win-win solutions and build long-lasting relationships with external partners 
  • Ability to build rapport quickly and develop collaborative relationships with all levels of management including senior leadership as well as franchisees and external partners 
  • Ability to work in home office, third party locations, and Support Center utilizing disciplined time management 

 

Travel Required 

  • Travel requirement of up to 15%

Salary

  • $63,426 - $105,711 per year

The salary range above represents the low and high end of the salary range for this position. Actual placement within this range will vary based on various factors including but not limited to experience, education, training, and location.
