Senior Executive Assistant to the CEO

The Executive Assistant (EA) to the Office of the CEO is a trusted strategic partner responsible for providing high-level administrative, operational, and project support to the Chief Executive Officer. This role ensures the CEO’s time is maximized, priorities are aligned, and communications are streamlined across internal and external stakeholders. The EA will manage complex calendars, coordinate travel and meetings, prepare materials, and serve as a liaison to the Board of Directors and Executive Leadership Team.
RESPONSIBILITIES:
Executive Support & Office Management
• Manage CEO’s calendar, travel, and meeting logistics, including aircraft travel and external board meetings
• Prepare meeting materials, agendas, and pre-reads; ensure timely distribution and room readiness
• Take meeting notes and manage follow-ups to ensure accountability and execution
• Maintain office equipment and supplies; oversee business card and stationery updates
• Provide on-the-ground support for CEO and Executive Team during offsites and events
Administrative Operations
• Track department budget and process invoices
• Manage jet tracking for Finance and Tax Auditing
• Maintain and distribute tracker reporting for CEO schedule reviews
Strategic & Project Support
• Support CEO in strategic initiatives by conducting research, preparing briefing documents, and summarizing insights
• Track and report on key projects and priorities; ensure alignment with CEO’s goals
• Partner with CFO EA on Investor Relations meetings and travel coordination
Board & Leadership Liaison
• Manage logistics and materials for Board of Directors meetings and CEO’s external board involvement
• Serve as a point of contact for senior leadership and external stakeholders on behalf of the CEO
Communication & Confidentiality
• Draft and manage internal and external email communications for the CEO
• Handle sensitive information with discretion and maintain strict confidentiality
EDUCATION QUALIFICATIONS:
Minimum: Bachelor's Degree
EXPERIENCE QUALIFICATION :
- Minimum: 10+ years experience in executive administrative support roles
- Experience supporting multiple individuals
REQUIRED KNOWLEDGE, SKILLS or ABILITIES:
- Proficient in Microsoft Office (Excel, Outlook, and PowerPoint)
- High EQ
- Detail oriented and able to multi-task in fast-paced environment
- Strong written and verbal communication skills
- Self-starter and able to define tasks independently
- Proven ability to effectively manage multiple priorities in a rapidly changing environment
- Strong interpersonal and one-on-one communication skills
