PURPOSE OF THE POSITION

Create a welcoming environment at the Inspire Brands Support Center Reception by greeting and assisting team members and guests, answering calls, and assisting the Admin Services team as needed. 

RESPONSIBILITIES 

  • Ensure that the first impression to all callers, guests, & vendors (non-team members) of the Inspire Support Center represents professionalism, efficiency, & personability on a daily basis. 

  • Answering phone calls within three rings then transferring the calls to the correct place. 

  • Immediately welcoming guests and directing them to the visitor kiosk to check in. 

  • Provide guests/vendors with visitor badges as needed. 

  • Creating relationships with callers who have complex needs, taking down their information, and forwarding this information to different departments to ensure that the caller is taken care of. 

  • If the guest is not greeted by a team member within 15 minutes, follow up with said guest and make sure they know they the team member is coming, and if not, follow up with team member. 

  • Provide support for an outstanding office environment by ensuring facilities needs are met, new hires are welcome and set up adequately, and continuously support our own team and others as needed. 

  • Enter and/or reassign requests in Angus within one hour of the initial request. 

  • Create and ship out baby gifts within two days of a baby announcement 

  • Check hourly that reception & reception lobby stays tidy and report any needs to the appropriate party 

  • Check for accuracy of the phone list, reserved parking, EA, etc., monthly and update as needed. 

  • Check for accuracy of the EA list (each new hire) and update that list as needed. 

  • Update the mobility impaired list quarterly. 

  • Daily follow up with visitor badges & delete/add as needed. 

  • Create badges for large conferences/meetings following directions of meeting host – delete any badges that aren’t returned at the end of the event 

  • Terminate employee badges weekly, from the report, or as emails come in. 
    Terminate team members within 30 minutes of termination notice. 

  • Contribute with coordination with various meetings. 

  • Creating badges and pour cards for new hires. 

  • Assist team members with reserving conference rooms 

  • Liaison for ordering business cards 

  • Update Reserved Parking Map as requested 

 

EDUCATION & EXPERIENCE QUALIFICATIONS 

  • Minimum education of High School degree required 

  • 2 year degree program preferred 

  • 1 year in a corporate environment preferred 

 

REQUIRED KNOWLEDGE, SKILLS or ABILITIES 

  • Excellent oral and written communication skills 

  • Ability to multi-task effectively 

  • Strong team orientation and interpersonal skills 

  • Well-organized and a self-starter 

  • Excellent attention to detail
