The Facilities Management Analyst ensures timely escalation of emergencies, accurate vendor setup and payment, clean system data, and strong coordination between work order management tools, financial systems, and utility platforms. 

RESPONSIBILITIES 

  • Monitors and manages the Facilities Management inbox to ensure timely response and resolution. Escalates emergency requests within 15 minutes in accordance with established protocols. Maintains a clean, organized inbox with a service level agreement (SLA) of 48 hours or less for responses and followup. 
  • Performs analysis related to contract services and preventive maintenance programs, including oversight of financial accuracy. Validates and submits consolidated invoices and maintains schedules within Corrigo to support timely and accurate delivery of contract services and preventive maintenance activities. 
  • Manages endtoend vendor management, including onboarding vendors into financial and work order management systems, maintaining accurate vendor attributes, and ensuring Master Service Agreements are fully executed and on file. Provides ongoing invoice support and issue resolution in coordination with internal stakeholders, maintains and analyzes vendor scorecards to monitor performance and compliance, and partners closely with Accounts Payable to ensure timely and accurate vendor payments.
  • Identifies and closes system gaps between the work order management tool and the financial platform to ensure data integrity and accurate reporting. Maintains assets, procedures, and ad hoc assignment of trades to vendors. Manages and analyzes vendor scorecards to monitor performance and compliance with company SLAs. 
  • Manages and maintains utility attributes within the utility management portal to ensure data accuracy. Troubleshoots exceptions and outliers and performs analysis for identified projects. Maintains schedules of utility deposits and bonds, ensuring accuracy and compliance. 

EDUCATION AND EXPERIENCE QUALIFICATIONS

  • 2 year Associate Degree
  • 2+ years’ experience in retail/restaurant 

KNOWLEDGE, SKILLS, AND ABILITIES 

  • Demonstrates experience working with a facilities management work order system. 
  • Exhibits excellent verbal and written communication skills with a professional and positive customer service orientation. 
  • Demonstrates the ability to define problems, gather data, establish facts, and draw valid conclusions. 
  • Works effectively with teams and stakeholders across the organization. 
  • Collaborates effectively in a team environment.
